Where do I find these numbers in HubSpot?

Filter contacts by when they were created. Use their stage history to count who reached each step, even if they have since become a customer. Looking only at their current step leaves out people who moved forward.

For opportunities and customers, count people connected to a deal, rather than mixing contact counts with deal counts. Count each deal's value only once when adding pipeline or revenue. Give recent leads enough time to complete your sales cycle.

How to calculate your lead costs and ad returns

Choose your industry, then enter ad spend and the number of people who reached each step. Use leads acquired during one period and follow those same people through later steps. Leave unknown counts blank; the calculator does not treat them as zero.

Cost per lead or customer
Ad spend ÷ people at that step. For qualified leads, use the number your team has actually qualified. This is advertising cost only, excluding sales salaries and other acquisition costs.
Conversion rate
People reaching the next step ÷ people at the previous step × 100. Sales calls use the sales funnel; free signups use accounts or trials that later become paying customers.
Estimated return on ad spend
New customers × average deal size ÷ ad spend. Estimated ad return is (estimated revenue − ad spend) ÷ ad spend × 100. These revenue-based estimates exclude delivery costs, margins and other expenses; they are not profit ROI.
Pipeline compared with spend
Pipeline value ÷ ad spend shows potential sales value per dollar spent. Pipeline is not earned revenue and is not reported as realized ROI.

What is a good cost per lead?

It depends on your industry, channel, location, lead definition and how many leads become customers. Compare like with like, then judge acquisition cost against customer revenue and margin. A cheap enquiry is not necessarily a qualified lead.

Which software option should I choose?

Choose sales calls when your team runs demos and closes deals. Choose free signups when people create an account or start a trial before paying. The free-signup software benchmark measures payment within six months; subscription app benchmarks measure trial-to-paid conversion.

Benchmark sources and comparison limits

Benchmark dataset reviewed 2026-10-30. Each publisher measures a different population. Sources are third-party research, not Kleerr customer results or a forecast for your business. Broader industry references are labeled in the calculator. Missing downstream benchmarks stay missing.

US search cost comparisons require US market, USD and the combined Google/Microsoft search channel. Mixed-channel funnel rates are not channel-specific. Source medians, agency averages and published ranges remain distinct; ranges are never replaced with an invented average.

First Page Sage agency tables and the ChartMogul survey do not provide country-specific rates here. RevenueCat app medians combine markets. These are broad reference populations, not representative samples of every business. Nonprofit cost comparisons use the US study, USD and mixed digital channels; supporter leads are not donors.
